ULTRA WAY Summer Running Festival

ORGANIZERS

ULTRA WAY RUNNING FESTIVAL hereinafter referred to as the RUN, is a sports and recreational event organized by the ULTRA WAY Foundation, hereinafter referred to as the ORGANIZER, in cooperation with the Gdynia Sports Center based in Gdynia, ul. Olimpijska 5/9 and with the support of the Wejherowo District Council, the Wejherowo Commune Council, the Puck Commune Council, the Municipal Office in Puck and the Municipal Office in Wejherowo.

GOALS

Introducing running as a form of active tourism;
Sports rivalry;
Encouragiement to have a healthy lifestyle and take up ecological education;
Popularization of the Tricity Landscape Park and the Kashubia & Pomerania region;
Promotion of attractive areas of Gdynia, Wejherowo and Puck;
Propagation of physical culture and sports;
Integration of the running community from different parts of the country.

TIME LIMIT is 4 hours, i.e. until 5:00 p.m. on June 29, 2024.

The races will start in the mass start formula

The starting line will be closed 5 minutes after the starter's shot for each distance.

The race organizer reserves the right to slightly adjust the route and distance of the race.

ROUTE

The route of all distances will mostly run along forest paths and dirt roads, as well as short paved sections, with possible sections running along public roads and other roads with regular road traffic, requiring special caution on the part of the Participant;
The route will be marked in the field with tourist trails and additional markings of the Organizer;
Details of route marking will be provided in the technical announcement;;
The Organizer will provide participants with tracks of individual routes to be downloaded to navigation devices.

RULES OF PARTICIPATION

Any adult person can take part in the competition (the age limit for the NADMORSKI MEDNEL 14KM race is from 16 years) who declares their willingness to take part in the race via the application form, pays the entry fee and signs a declaration of participation in the race at their own risk - for the purposes of this STATUTE hereinafter referred to as the PARTICIPANT;
The ORGANIZER informs that the PARTICIPANT'S personal data when registering using the form on the page of this statute are transferred by the PARTICIPANT directly to the entity organizing the registration form and time measurement (all data of this entity as well as the personal data use policy are available at https://elektronicznezapisy.pl/). After completing the electronic registration, the data will be transferred to the ORGANIZER on the basis of the personal data entrustment agreement concluded between the entity organizing the registration and the ORGANIZER;
The ORGANIZER will use the personal data provided to it, in accordance with applicable regulations, within the scope of the consent granted by the PARTICIPANT, solely for purposes related to the organization and promotion of the RACE, in particular in the field of registration (publication of data on the publicly available starting list), preparation of starting packages, reporting the results (including doing all of the above on the RACE’S website, the website of the entity organizing the registration form, social media, publicly displayed in the finish area, running/sports-related websites, websites and social media profiles of RACE’S partners and sponsors), information regarding the race provided on social networking sites, other purposes directly related to the organization and promotion of the RACE, selecting winners, awarding and issuing prizes;
Moreover, when issuing starting packages, the PARTICIPANT will receive information from the ORGANIZER about the processing of his personal data (however, these data will be used only for the purposes mentioned in this STATUTE) and will consent to the processing of this data
(to the extent mentioned in this STATUTE) by the ORGANIZER, and consent is voluntary. The processing of personal data by the ORGANIZER allows the organization of the PARTICIPANT'S participation in the RACE, including classification, therefore the lack of consent prevents the PARTICIPANT from taking part in the RACE. The PARTICIPANT'S personal data will be processed by the ORGANIZER for the following purposes: preparation, implementation of the RACE and ensuring the PARTICIPANT'S participation in it, including all preparatory activities, such as preparing starting packages, and then announcing the results of the competition and informing about the course of the RACE and its promotion - based on art. 6 section 1 letter b of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereinafter referred to as GDPR) , fulfillment of legal obligations incumbent on the Organizer - pursuant to Art. 6 section 1 letter c GDPR, possible determination, investigation or defense against claims, which is the legitimate interest of the ORGANIZER - legal basis: Art. 6 section 1 letter f GDPR. The PARTICIPANT'S personal data are processed for the period necessary to carry out the competition, in terms of preparation, participation of the PARTICIPANT in the RACE, announcement of results, information about the course of the RACE and its promotion - for the period necessary to carry out these activities, and in the case of informing about the course of the event, also after the RACE. Additionally, for the period in which the ORGANIZER will organize subsequent editions of the RACE, within the scope of fulfilling the legal obligations incumbent on the ORGANIZER - for the period necessary for the ORGANIZER to fulfill these obligations, within the scope of establishing, pursuing or defending claims - for the period of limitation of such claims provided for by law. The recipients of the PARTICIPANT'S personal data may be entities cooperating with the Organizer in organizing the race. The Participant's personal data will not be transferred to third countries, i.e. to countries based outside the European Economic Area;
The PARTICIPANT has the right to request access to his/her personal data, rectification, deletion, limitation of their processing, as well as the right to transfer data. If the processing of the PARTICIPANT'S personal data is based on a legitimate interest, the PARTICIPANT has the right to object to the processing for reasons related to a particular situation. The PARTICIPANT has the right to lodge a complaint with the supervisory authority responsible for the protection of personal data (the President of the Personal Data Protection Office). Providing personal data is voluntary, but the consequence of not providing this data to the ORGANIZER or the entity organizing the registration will be the inability to prepare and ensure participation in the RACE for a given PARTICIPANT. The ORGANIZER will not make decisions that are based solely on automated processing, including profiling, which would produce legal effects for the PARTICIPANT or similarly significantly affect the PARTICIPANT;
By registering for the RACE, each PARTICIPANT agrees to the free publication of their image, in particular along with providing their name and surname and the sports club, including in reports from the RACE published in the media, as well as in advertisements, promotional materials of the ORGANIZER, partners, media patrons and sponsors. – including on websites and social media;
Providing the data covered by this declaration is voluntary, but necessary to participate in the race;
The PARTICIPANT has the right to withdraw consent to the processing of personal data by the ORGANIZER at any time.

PARTICIPANTS

Participation in the competition is voluntary;
The PARTICIPANT is obliged to complete the application form available on the RACE registration page or to register in person at the Race Office or in another place indicated by the ORGANIZER (during registration before the start - if there are any spots left). The application expires if the entry fee is not paid within the deadline specified in the Regulations;
The PARTICIPANT is obliged to pay the entry fee before the start in the amount in accordance with the REGULATIONS, within the time specified in the REGULATIONS. Confirmation of the entry fee payement must be kept and presented during registration at the Competition Office;
Each PARTICIPANT takes part in the competition at their own risk;
Only people who are in appropriate health condition, in particular required for competitions such as RACE, can participate in the RACE. Each PARTICIPANT assesses his/her own health condition;
Each RACE PARTICIPANT must be at least 18 years old on the day of the start (in the case of the NADMORSKI MENDEL 14KM Run - they must be at least 16 years old);
Each PARTICIPANT acknowledges and accepts the fact that participation in the RACE involves above-average physical effort and entails natural sports risk, risk of accidents, including due to the fact that the RACE route largely leads through the forest, as well as the possibility of suffering bodily injury and physical harm, including death;
Before taking part in the competition, each PARTICIPANT shall personally submit to the ORGANIZER a written declaration that there are no health contraindications to taking part in the competition and that they take part solely at their own risk, according to the ORGANIZER's template, available at the PARTICIPANT's request via e- mail and at the competition office. Submitting such a declaration is a condition for participation in the competition - the ORGANIZER may withhold the PARTICIPANT from participating in the competition if the declaration is not submitted;
By registering participation in the RACE, the PARTICIPANT declares that he or she waives any claims for compensation from the ORGANIZER in the event of health damage or other compensation in connection with the RACE;
All PARTICIPANTS undertake to follow the rules set by the ORGANIZER, strictly follow his instructions but also those of persons designated by the ORGANIZER and obey traffic rules;

The ORGANIZER provides the possibility of participating with a dog under the codition that the owner is provided with: a dog's health book confirming current vaccinations, a harness for the dog (due to animals in the forest, road safety issues, etc.), the PARTICIPANT'S dog should be under the control of the PARTICIPANT throughout the whole duration of an event (on a leash) and special attention must be paid to ensure that the dog does not pose a threat to the safety of other participants of the RACE. A PARTICIPANT starting with a dog, if he takes a prize-winning place, is omitted from the classification. A PARTICIPANT starting with a dog should line up at the start at the end of the pack, so that the start with the dog does not cause any difficulties for other PARTICIPANTS;
Confirmation of participation is the assignment of a start number to the PARTICIPANT;
Competition participants get insurance, in particular against personal accident insurance, on their own.

TIME MEASURING AND CHECKPOINTS

The basis for classification in the competition is electronic time measurement made using a chip received by every PARTICIPANT at the competition office. There will be control mats at the start, checkpoints and finish of the race to record the appearance of the PARTICIPANT. In addition, there will be checkpoints and people checking/controlling along the route. To be classified, a participant must be recorded at all checkpoints. The race route includes permanent checkpoints and flying points, which will not be known to the PARTICIPANTS.

START NUMBERS

For the duration of the race, participants must run with their starting number uncovered so that it is visible to the judge and people controlling the route.

TIME LIMITS AND NUTRITION/CHECK POINTS

There will be nutritional and hydration points along the run route - which are also checkpoints with time limits for the entire run and sections. Exceeding the set time will result in the participant's disqualification.

NORTH STAR 160KM+

Distance 164.27 km, elevation gain: +/- 4378 m, limit for completing the distance: 30 hours.

Distance 14.66 km, elevation gain: +/- 598 m, limit for completing the distance: 4 hours.

START: 29/06/2024 at 1:00 p.m.

TIME LIMIT: 5 hours, i.e. until 5:00 p.m. on June 29, 2024.

At the nutritional points there will be: cooling drinks, snacks, sweets, fruit, regenerating drinks and hot drinks, at selected points there will be hot meals;
On the routes: Cliffs in the Morning 50 km+, In the Light of the Moon 100 km+ and North Star 160 km+, the ORGANIZER allows accompanying the runner (pacemaker) along the race route from the last point (Zwierzyniec) to the FINISH.

DROP BAGS / DEPOSIT

Each PARTICIPANT may leave a deposit at the competition center;
The deposit bags will be issued at the COMPETITION OFFICE;
The capacity of the bags is up to 60 liters. Deposit weight limit – up to 3 kg/person;
The bag deposited should be marked with the PARTICIPANT'S starting number;
The deposit is issued only upon presentation of the starting number or ID card;
Deposits not collected by the end of the event will be disposed of;
Deposits will not be sent by post;
Please do not place valuable items, documents, etc. in deposits;
The ORGANIZER is not responsible for the loss of the deposit;
It is forbidden to place glass containers and beverage cans in bags.

SUBMISSIONS

Applications can be submitted electronically via the website https://elektronicznezapisy.pl/event/8400.html Online registration becomes valid after the entry fee payement is done. The application form closes on June 14, 2024. After this date, it will be possible to join the starting list at the Competition Office, but without the guaranteed full starting package and a commemorative medal;
Participant amount limits for individual distances:

- NORTH STAR: 200 people;
- IN THE MOONLIGHT: 200 people;
- CLIFFS IN THE MORNING: 300 people;
- SUNNY AFTERNOON: 400 people;
- SEAMAN MENDEL: 200 people;

THE ORGANIZER reserves the right to increase the limit;
If the amount of people registered is more than the PARTICIPANTS limit is, priority will be given to the person who has previously paid the entry fee. Others who register outside the limit will receive a refund;
Each PARTICIPANT in the race must be verified at the COMPETITION OFFICE. During verification, the PARTICIPANT must have a document confirming his/her identity.

TRANSFERRING THE PACKAGE TO ANOTHER PARTICIPANT:

In justified cases and after consultation with the ORGANIZER by June 14, 2024, it is possible to transfer the starting package to another person, with a handling fee of PLN 50;
In special cases, it is possible to resign from the race. A PARTICIPANT who resigns from participating in the event is entitled to a refund of the entry fee according to the following rules:
resignation by September 30, 2023 - 100% refund of the entry fee paid;
resignation by November 30, 2023 - refund of 80% of the entry fee paid;
resignation by January 31, 2024 - refund of 50% of the entry fee paid;
in case of resignation after January 31, 2024 - no refund of entry fee;
Resignation from the competition, stating the reason, should be reported by e-mail to: biuro@ultra-way.pl ;
Ordered and paid T-shirts can only be collected at the competition office by the PARTICIPANT or an authorized person. It will not be possible to send T-shirts or packages by post;
The ORGANIZER does not refund the entry fee to persons who did not finish the competition or did not take part in the competition and does not transfer the entry fee to other/next competitions;
The ORGANIZER does not send starting packages. Shortening or changing the route of the route or competition as well as canceling the route or competition during its duration does not constitute grounds for a refund of the entry fee.

CHANGE OF DISTANCE (ROUTE):

In justified cases and after consultation with the ORGANIZER by June 14, 2024, it is possible to change the distance, but a handling fee of PLN 50 is charged;
The ORGANIZER does not refund the entry fee difference if it occurs when transferring to a shorter route. When moving to a longer distance, the participant is obliged to cover the difference in the amount of the entry fee (from the period of its payment). It is not possible to transfer the difference in the entry fee towards the ordered technical T-shirt. Transferring between routes will only be possible if there are available spots on a given distance.

Invoices for the run will be issued upon request. To submit a request, please send a message with the title INVOICE along with all data to the e-mail address: biuro@ultra-way.pl from the e-mail address provided in registration.

CLASSIFICATIONS

The following classifications will be awarded in all races of the ULTRA WAY Running Festival:

OPEN Women
Men's age groups:
- M2 – 18 – 29 years old
- M3– 30 – 39 years old
- M4– 40 – 49 years old
- M5– 50–59 years old
- M6 – 60 and above

Women’s age groups:
- K2 – 18 – 29 years old
- K3 – 30 – 39 years old
- K4 – 40 – 49 years
- K5 – 50 – 59 years old
- K6 – 60 and above

IMPORTANT:

The OPEN classification does not coincide with the age category;
The year of birth determines the age category.

AWARDS

There are material and financial prizes in the above-mentioned categories. Prizes for the first 3 competitors in the OPEN Men's and OPEN Women's categories and the first 3 competitors in the other categories. The size of the prizes depends on the generosity of the sponsors.

The condition of receiving prizes and statuettes is the competitor's presence at the official end of the event. It is not possible to collect prizes and statuettes earlier or later. You can authorize a third party to collect prizes and statuettes on your behalf at the official end of the event.

MANDATORY EQUIPMENT
